Terms and Conditions

NOTE
Do read the following terms and conditions carefully. Please accept all bookings only after you understand and agree with all the terms and conditions given below.

Our Promise
At Padmaja Travels Pvt. Ltd. We are always eager to assist you and will ensure that we go all out to all we can for you. We assure you of our Trust and Best Service at all times.

Quotations
All quotations or quotes issued are subject to change and availability of the individual itinerary components at the time of the booking. Certain charges may be charged by some tours directly. All extras are directly payable. Surcharges, if any during the peak period may be added to the quotes.

Important booking Terms & Conditions

  • All accommodations and sightseeing tours are subject to availability at the time of reservation.
  • No reservations are done unless specified otherwise.
  • Any additional surcharge in the later part of the booking, if so required even after the booking is confirmed will be borne by the traveller/s.
  • In case of change in R.O.E (Rate of Exchange) of foreign currency, we reserve the rights to change the rate of the package without any prior intimation.
  • Travellers must submit a valid passport copy without which we shall not be able to confirm booking.
  • Minimum 50% advance of the package cost is required for booking for us before confirmation of a reservation.
  • 100% payment must be received before issuance of Package Voucher, Visa and Insurance and Air tickets (if any).
  • We reserve all rights.
  • Upon written confirmation from the customer, cancellation policy will be in effect and binding to all customers.
  • When booking, all relevant details including passenger names, rooming requirements, children’s ages (if applicable) and all flight details must be provided by customer correctly including spellings and salutations.

Changes/Amendments
Any changes/amendments made after the confirmation of the itinerary will incur a cost of INR 5000 per person per change.

Gratuities
Gratuities, personal items, laundry, drinks etc are not included in any quotes unless specified otherwise.

Visa & Insurance Terms & Conditions

  • Visas are subject to issuance by the respective consulates. Insurance is subject to issuance by the respective Insurance Company.
  • Visas fees once the visa papers are submitted to the consulate are NON refundable.
  • Refund of Insurance amount is subject to T&C of the Company Insuring the passenger.

Check in – Check out Policy

  • The usual check-in time at all hotels is 14:00 hours. Luggage may be deposited at the reception / luggage room of the property and collected once the room is allotted.
  • Official checkout time at most hotels is at 10:00 hours. Any late checkout may involve additional charges.
  • Note that reservations may be cancelled automatically after 2 hours if hotels are not informed about the approximate time of late arrivals.
  • Early check-in and Late check-out feature may involve extra charges. You are urged to check with the hotel for their check-in/check-out policy.

Customer Payment Terms & Conditions

  • Advance payment must be minimum 50% of the package cost before any confirmation.
  • Balance payment must be done within seven to fifteen days from the advance payment by customer/traveller to us.
  • In case the date of travel is within 20 days of the confirmation, then 100% advance must be given before a firm confirmation can be issued.
  • All Payments for Outbound packages will be collected in INR.
  • Payments if collected in USD (In special cases) will be drawn against BTQ Scheme.
  • Payment rates are only valid for the dates of travel mentioned. Change in travel dates may lead to change in payment rates.
  • All rates are subject to change without prior notice.
  • Payments can be in Cheque / Cash / DD / Bank Transfer. Customer to mail us / Fax us the proof of payment in case of bank transfer.
  • Credit card payments will be subject to an additional service charge of 2.5% of the total amount.
  • Cheques / DD will be collected in the Name of “Padmaja Travels Pvt. Ltd.” Cheques are subject to realization.

Cancellation Policy
After the confirmation from the passenger in writing or email the following cancellation charges will be applied –

  • Up to 35 days prior to departure: 15% of total package cost services.
  • Between 34 days and 22 days prior to commencement of services: 30% of total package cost of services
  • Between 21 days and 15 days prior to commencement of services: 60% of total package cost of services
  • Within 14 days or after commencement of services: Total cost of services 100 %.

Cancellation policy may vary per supplier / country. Please check with us about the same when you sign the Booking form.
In case supplier/country cancellation policy is different from that of Padmaja Travels Pvt. Ltd.’s policy, then Supplier/country’s cancellation policy will be applied.

Refund Policy
All refunds are processed within 30 (Thirty) days of package cancellation. Refunds will be released only on Saturday and Refund amount will be returned in cheque only. Refunds are subject to our cancellation policy and totally at our discretion.

Agency
Padmaja Travels Pvt. Ltd. acts as a travel agent only. We sell different travel related products on behalf of numerous transports, accommodation and other wholesale service providers such as airlines, coach, rail, hotels and cruise line operators. Our obligation is to make travel bookings on your behalf and to arrange relevant contracts between the customer (traveller) and the travel service providers. We have no responsibility for these services nor do we make or give any warranty or representation regarding their standard. All bookings are made subject to the terms and conditions and limitations of liability imposed by these service providers. Your legal recourse if any will be against the specific service provider and not Padmaja Travels Pvt. Ltd.  You (Customer / traveller) absolve Padmaja Travels Pvt. Ltd; its employees and associates from all legal / penal actions. If for any reason, any travel service provider is unable to provide the services for which you have contracted your remedy lies against the provider and not with Padmaja Travels Pvt. Ltd.

Conditions
Transfers or sightseeing / activity passes which are not utilized will incur a 100% cancellation charge.

Rate of Exchange (R.O.E)
The rate of exchange applied for collection from customers / travellers would be those prevailing on the date of collection. Padmaja Travels Pvt. Ltd. will inform the exchange rate in the morning on the date of the payment.

Payment on Arrival
The option of paying on arrival would attract a collection fee and appropriate refundable deposit.

Company Statement
The itinerary provided to you is correct at the time of writing, however Padmaja Travels Pvt. Ltd. and their employees / suppliers cannot be held responsible for any alterations that may occur due to changing local conditions or circumstances beyond their control. Sightseeing / transfer details and package inclusions are as per given to the customer as Final Itinerary.
